To-Do List

Here are the first 5 things you should get started on. After that, read more below to get the most out of Imperia’s event planning tools.

   Most Important Planning Steps:

  1. Get familiar with your private online portal! The private link to your portal is sent by your event coordinator whenever any document is shared; you can bookmark it in your web browser for easy access.
Your personal portal is where you can:

    • View your most up-to-date contract, event order & timeline, menus, your floor plan, and so much more
    • Provide credit card pre-authorization for security deposit
    • Communicate directly with your event coordinator, your decor and floral designer, and the bar manager for special cocktails ‘n’ such.  Plus, you can see your conversation history, all in one place.
    • Pay deposits, incremental payments, and final payment via credit card
  2. Attend a complimentary tasting. You will be cordially invited to the shared tasting that is most seasonally appropriate for your event date. Private tastings available at a nominal cost.
  3. Schedule Meetings with your Event Coordinator (and Decor/Floral Manager):
    • Schedule a planning meeting, ideally 3-6 months before your event date.  Review steps 1-6 above before you meet; bring questions and be ready to make decisions.
    • Schedule your final meeting 10 days before your event date (final guest count & payment due).
    • You can reach out to schedule now, or we will be in touch about 30 days before these meetings should occur.
  4. Peruse this resource guide.  Everything from lighting options to specialty drink menus can be found on this website.  If you have questions about anything you see here, you can:
    • Send a message to your planner through your online portal, OR
    • Add the items to a quote on this site by clicking “add to quote.”  Then add any notes and questions when you submit.  Quotes are NOT contracts; anything you request a quote for will be priced and added to your proposal.  Then you can review and approve or reject each item.  You may receive a call or email from your coordinator with any questions.
